Soul Systems is here to change lives. It’s the workflow that I created that I personally use to help me stay on track in my business. You need to have processes that you do everyday for your biz. You need to know what actions you need to be doing every single day before the day even starts. If you don’t have a system, and you don’t know what you have to do for that day, you’re wasting your time, honey. You’re just gonna be scrolling through social media for hours and feel like you’re “working” your biz but honestly, you’re not getting anything accomplished. I hate to break it to yaaa. If this is you, you gotta come up with a system that will keep you on track. When you’re ready to work, you’ll know specifically what to do for that day, any day of the week. Under systems, you’ll need 3 major ones:
You need a system where you can find new leads that have the potential to be new customers. How are you gonna find new people and get them into your world? For me, it’s my podcast! It’s my channel to connect with new people every day that wouldn’t have otherwise found me. What’s yours?
Now it’s time to nurture your relationship with your new-found leads and turn them into a customer. You can do this with groups like Facebook groups, emails, text clubs, etc. You gotta build that one-on-one relationship with them because that’s how you create that connection, trust, and loyalty.
What do you need to be doing everyday to help support your team? What are the actual tasks you gotta do for them? With Soul Systems, it doesn’t have to be the same everyday. You’re gonna create a system that will work for you. There’s no one-size-fits-all copy-paste system because everyone does different things everyday and what works for one won’t always work for the other.
Once you get these systems up, you’re gonna be saving so much time. You won’t waste time thinking what to do today, are you gonna make a reel or check up on your customers or your team? You’ll finally be able to take control of your day and do tasks that bring in actual results.
If you don’t automate certain parts of your biz, you’re wasting a lot of time! There are a ton of things that can be automated and you won’t have to worry about them ever again. Like emails! When a customer places an order with me, I have this email set up that says thank you for your order (you can even add their name on it), and all I have to do is tag them into that system and automatically sends it to them. When I have a new stylist join my team, they also get an automatic welcome email. It saves me A TON of time – instead of writing out a new email every time for every person, I have this whole system that does that for me. It’s a real GAME CHANGER.
Another thing I automate are meetings. I have meetings all the time and in order to make things easier, I have this automated calendar. I just send them the link and they can sign up for the time that works for them. It automatically sends us an email reminder and a zoom link for the meeting. I no longer have to go back and forth with people trying to figure out when we’re both free to meet. I use Acuity for this but there’s also Calendly and a ton more out there.
Don’t use Facebook messenger, Instagram DMs, iMessage to communicate with your team and customers. You don’t wanna mix business and your personal messages! When you do this, you’re allowing yourself to get distracted with you’re working. There’s zero organisation in this too! There are way tooo many people in your biz for you to be mixing it with your personal stuff. C’mon girl, you can do better than that! For me, I use Telegram for everything business. And companies use a lot of other apps too like Slack.
At the end of the day, time management comes down to organization. The reason that you’re struggling with time in your biz is because you’re not organized. Remember, it’s better to work smarter, not harder. Efficiency is the way, queen!
